Purpose: The Senior Clerk Typist will have the primary responsibility of supporting the building or department supervisor in ensuring the day-to-day functions of the building/department run smoothly.  The Senior Clerk Typist will also have the primary responsibility of being the “face” of the building/department and ensuring all patrons receive a warm and friendly greeting.  This Result-Oriented Job Description is in conjunction with the job description provided by the Wayne County Civil Service.

 Expected Results:

1. The Senior Clerk Typist will ensure the day-to-day functions of the building/department will be accomplished by: 

  • Making decisions in accordance with established policies and procedures.
  • Preparing various documents to include but not limited to: word-processed documents, spreadsheets, and presentations.
  •  Assigning and reviewing work for other clerical staff, regular, seasonal, temporary, or substitute employees in the building/department.
  • Reviewing claim forms and other documents for completeness, accuracy and conformity with established procedures.
  • Maintaining financial records for the building/department or other organizations or groups affiliated with the building/department.
  •  Maintaining payroll and timesheets for applicable employees.
  •  Maintaining records and files pertinent to the building/department.
  •  Coordinating with vendors and other outside agencies who conduct business in the building/department.
  • Attending meetings and keeping meeting minutes.
  • Coordinating substitutes and coverage for employees who are not in attendance, when applicable.

2. The Senior Clerk Typist for the CSE Office will assist the Director of Special Services by:

  • Scheduling CSE, CPSE and 504 annual review, reevaluation, manifestation determination, and program review meetings.
  • Attending meetings, taking minutes, and ensuring follow up tasks are completed.
  • Preparing, distributing, and tracking meeting notices, prior written notices, and related correspondence.
  • Maintaining accurate and confidential student records in compliance with FERPA and IDEA regulations.
  • Managing timelines to ensure meetings, evaluations, and documentation are completed within mandated deadlines.
  • Inputing and updating student data in special education management systems (e.g., IEP Direct, Frontline, or similar platforms).
  • Coordinating with evaluators, service providers, administrators, and outside agencies.
  • Communicating professionally with parents/guardians regarding meeting dates, paperwork, and procedural questions.
  • Preparing packets for meetings, including evaluations, reports, and IEP documents.
  • Assisting the CSE Chairperson and team with daily administrative tasks.
  • Filing, scanning, and organizing records both digitally and in hard copy.
  • Responding to phone calls, emails, and other inquiries related to special education services.
  • Supporting compliance reporting and audits as needed.

3.  The Senior Clerk Typist will ensure all parents, students, community members, employees, and all visitors to the Palmyra-Macedon CSD will experience the Pal-Mac Way by: 

  • Greeting parents, students, community members, employees, and all visitors with a friendly and helpful attitude.
  • Displaying a customer service approach when working with others in person, on the phone, and through written and electronic communication.
  • Being attentive to the needs of all individuals who request their assistance.
  • Communicating clearly, both verbally and in writing.
  • Utilizing their skills to de-escalate a situation when other people are in a heightened or excited state.

4.  The Senior Clerk Typist will assume other duties, projects and responsibilities as assigned by the Building Administrator or Department Supervisor/Director.

Evaluation:

TITLE: Substitute Clerk Typist

The Substitute Clerk Typist will also have the primary responsibility of being the “face” of the building/department and ensuring all patrons receive a warm and friendly greeting. This Result Oriented Job Description is in conjunction with the job description provided by the Wayne County Civil Service.

  • Assisting the Senior Clerk Typist or other Clerk Typist, if applicable, in performing all duties within the office.

  • Maintaining financial records for the building/department or other organizations or groups affiliated with the building/department.
  • Maintaining payroll and time sheets for applicable employees.
  • Maintaining records and files pertinent to the building/department.
  • Coordinating with vendors and other outside agencies who conduct business in the building/department.
  • Attending meetings and keeping meeting minutes.
  • Coordinating substitutes and coverage for employees who are not in attendance, when applicable.
  • When assigned to the Main Office at PS, IS, or MS, 0.25 FTE responsibility shall be to provide support for transportation-related matters, including but not limited to, bus assignments, daily changes, parent contact, transportation management system, routing updates, and communication with drivers.
  • When assigned to the Main Office at HS 0.15 FTE responsibility shall be to provide support for transportation-related matters, including but not limited to, bus assignments, daily changes, parent contact, transportation management system, routing updates, and communication with drivers.

2. The Substitute Clerk Typist will assist the Transportation Department by:

  • When assigned to the Main Office at PS, IS, or MS, 0.25 FTE responsibility shall be to provide support for transportation-related matters, including but not limited to, bus assignments, daily changes, parent contact, transportation management system, routing updates, and communication with drivers.
  • When assigned to the Main Office at HS 0.15 FTE responsibility shall be to provide support for transportation-related matters, including but not limited to, bus assignments, daily changes, parent contact, transportation management system, routing updates, and communication with drivers.
  • When assigned to the Personnel Office, a portion of each work day (.1 FTE) of the employee shall be responsible for the day-to-day personnel functions of school bus drivers, mechanics, and transportation office staff including management of the bargaining agreement, hiring/onboarding, maintaining appropriate records, monitoring probationary periods, and executing Civil Service procedures.
  • When assigned to the District Office, a portion of each work day (.15 FTE) of the employee shall provide support for transportation-related matters, including but not limited to, bus assignments, parent contact, transportation management system, routing updates, and communication with Transportation Office/Dispatch about parent complaints/concerns specific to school bus transportation, transportation to nonpublic schools, or the transportation of students with special needs.

3. The Substitute Clerk Typist will ensure all parents, students, community members, employees, and all visitors to the Palmyra-Macedon CSD will experience the Pal-Mac Way by:

4. The Substitute Clerk Typist will assume other duties, projects, and responsibilities as assigned by the Building Administrator or Department Supervisor/Director.

The Substitute Clerk Typist will possess the following minimum qualities, qualifications, skills, and/or abilities:

  • Physical condition commensurate with the demands of the position.
  • Fingerprint clearance through New York State Office of School Personnel Review and Accountability.
  • Evidence of an open, collaborative style that fosters a sense of teamwork and common purpose.
  • Proven people skills and is an effective communicator with a sense of humor. The successful candidate will be positive, approachable, and respectful of others.
  • Willingness to become an active, engaged and visible member of the Pal-Mac community.
  • A clear communicator in oral and written language, including electronic communication.

Evaluation:
The Substitute Clerk Typist will report to the Building Administrator or Department Supervisor/Director and be evaluated by the District approved document.
